How to Copy Text from a PDF (and Why Scans Fail)
Updated 3 November 2026 · 3 min read
Copying from a PDF reader often goes wrong: lines break in odd places, you select one page at a time, and some PDFs will not let you select anything. Here is how to get all the text out at once, and why a scanned PDF gives you nothing.

A PDF made by a program, such as Word, a browser, billing software or a bank's website, stores real text. Each word is saved as letters with a position on the page, so it can be selected, searched and copied. This is a digital PDF.
A scanned PDF is different. A scanner or a phone camera took a photo of each paper page, and the PDF just holds those photos. To a computer the words are only dots of colour, like any other picture, so there is no text inside to copy.
How to tell which one you have
- Open the PDF in any reader and try to select one word. If it highlights, the PDF has real text. If you get a box over the whole page, or nothing, it is a scan.
- Search for a word you can see on the page. A scan finds nothing.
- Zoom in a long way. Real text stays sharp at any zoom. A scan gets blurry or blocky like a photo.
Some PDFs are mixed: a few pages typed, others scanned. Only the typed pages give text.
How to copy text from a PDF in one go
- Open PDF to Text and choose your PDF, up to 150 MB.
- Every page is read in turn. The text appears in a box, with the number of words and characters above it.
- Leave Show page numbers on to see where each page starts, or turn it off for one continuous text.
- Press Copy all text and paste it into Word, an email or a chat. If your browser blocks copying, click in the box, select all and copy by hand.
- Or press Download .txt to save a plain text file named after your PDF.
The PDF is read in your browser and not uploaded, so statements, contracts and notes stay on your device.
What the output looks like
A PDF does not store lines and paragraphs. It stores small pieces of text, each with a position. The tool joins pieces that sit on the same line, adds a space where there is a visible gap, starts a new line when the text moves down, and leaves an empty line where there is a bigger jump, like between paragraphs. With page numbers on, a two-page file comes out like this:
--- Page 1 ---
Monthly Statement
Account holder: A. Sharma
Opening balance 12,500.00
--- Page 2 ---
Closing balance 9,840.00The .txt file is saved as UTF-8, so Hindi and other scripts stored as proper Unicode text come out correctly. Bold, fonts, colours, pictures and table borders are left out. You get plain text only.
Why a scanned PDF gives no text
If every page of the PDF is a picture, the tool finds nothing and says so: the PDF is probably a scan or photos saved as PDF, and it needs OCR. OCR (optical character recognition) is software that looks at the picture and guesses which letters it shows. This tool does not do OCR. It only reads text that is already stored in the file.
For a scan, your options are an OCR app, or asking for the original digital file. Many banks and offices can email the same document as a digital PDF, which gives clean text straight away.
Other things that can go wrong
| What you see | Why | What to do |
|---|---|---|
| Tables come out as plain lines | A PDF has no real table, only text placed in rows | Paste into a spreadsheet and split the columns there, or fix by hand |
| Two columns are mixed up | The text is read in the order the PDF stores it, which depends on how it was made | Copy one column's part at a time from the result |
| Some words are joined or split | The PDF places letters one by one with odd spacing | Fix the few words by hand after pasting |
| Hindi text looks like gibberish | The PDF uses an old non-Unicode font, so the letter codes are wrong | Use the original document, or OCR |
| The file will not open | It is password protected, or damaged | Open it with its password and save a copy without one |
Need text from only a few pages? Copy the part you need using the page markers, or cut those pages out first with Split PDF and open just that file.
